  • Score leads before outreach so you focus energy on the best fits
  • Organize your pipeline so no lead falls through the cracks
  • Set up a follow-up cadence that runs itself with minimal management
  • Identify bad-fit leads before investing outreach time

Lead Sourcing: Where Commercial Clients Are Hiding

The highest-value commercial leads are not on lead-gen platforms. They're in Google Maps, Yelp, local business directories, and industry association member lists — all publicly accessible and completely free to use. Most cleaning companies overlook these because they require manual effort, which is exactly why the operators who work through them consistently land contracts.

Google Maps prospecting workflow: Search '[niche] near [city]' and scrape the resulting list using a simple spreadsheet system. Record business name, address, phone, Google rating, number of reviews, and whether they have a website. Filter out businesses with fewer than 5 reviews or ratings below 3.5 (likely struggling businesses that won't pay on time). This 30-minute workflow can produce 40–60 qualified prospects per niche per city.

Yelp prospecting is especially effective for restaurants, salons, and gyms because decision-makers often respond to contact through their Yelp business page, and Yelp provides direct contact information for business owners who claim their listings.

Lead Enrichment and Decision-Maker Identification

A lead without a name is half as valuable as a lead with one. Enrichment means finding the decision-maker's name, direct contact information, and any relevant context before you reach out. This information is almost always available through a combination of the business website, LinkedIn, Google, and Yelp.

For small businesses (fewer than 20 employees), the owner is almost always the decision-maker. For mid-size businesses, look for the operations manager, office manager, or facilities coordinator. LinkedIn is the most reliable source for name + title. Google 'Business Name + Operations Manager' often surfaces LinkedIn profiles or local business news mentions.

AI tools can dramatically accelerate enrichment: use a language model to generate a first draft of enrichment tasks — 'Find the decision-maker at [business name] in [city]' — and then verify manually. This hybrid approach is 3x faster than pure manual research and more accurate than pure AI output.

Lead Scoring: Focus on the Best Fits First

Lead scoring prevents you from spending equal time on a 3-star gyms struggling to stay open and a well-reviewed medical group with 3 locations. Before any outreach, score each lead on five dimensions: (1) facility size and revenue potential, (2) decision-maker accessibility, (3) operational fit with your current team size, (4) geographical efficiency (proximity to existing accounts), (5) niche profitability.

Score each dimension 1–3 and add the totals. Leads scoring 12–15 are A-tier (reach out within 72 hours). Leads scoring 8–11 are B-tier (add to standard outreach sequence). Leads scoring below 8 are C-tier (quarterly check-in only). This system prevents you from burning your best outreach energy on accounts that will never convert.

Scoring should take 2–3 minutes per lead once you're familiar with your criteria. Build a simple spreadsheet template and use it for every prospect before any outreach begins.

CRM Organization and Pipeline Management

You do not need an expensive CRM to manage a commercial cleaning pipeline. A well-organized spreadsheet with the right columns will outperform a poorly used $200/month CRM platform. The key is consistency — every lead goes in, every touch is logged, every outcome is recorded.

Minimum CRM columns: Business Name | Industry | Decision Maker Name | Contact Method | Contact Info | Lead Score | Status | Last Touch Date | Next Touch Date | Notes | Outcome. Status categories: New, Contacted, Responded, Nurturing, Proposal Sent, Closed Won, Closed Lost, Long-Term Nurture.

Review your pipeline every Monday morning. Update statuses, set next touch dates, and review your A-tier leads. This 20-minute weekly habit will do more for your commercial revenue than any single outreach tactic.
